Chairing and Managing Meetings

Half or full day | Online or in person

This course is aimed at anyone that chairs meetings and has responsibility for making them happen. It looks at the whole process of making a meeting happen, from working out who's attending, making sure it's recorded and of course how to chair the meeting itself. Rather than just offer skills and tips for effectively following an agenda within a time slot, this course explores how to get the most out of the attendees, balancing personalities and content.

To support modern ways of working, this course is available in multiple versions. The half day versions are delivered with a focus on either online or in person meetings, with the former exploring video chat technology while the latter spends more time considering the meeting room environment. Both explore how to organise meetings, manage agendas and support effective conversations. The full day course covers both, and goes further by considering options for a hybrid approach.

All versions of this course cover the following topics in the contexts of holding meetings online, in person or both:

  • The Value of Meetings: Deciding when to have a meeting and considering alternatives
  • Meeting Basics: Choosing attendees, preparing your agenda and handling supporting documents/papers
  • Managing Your Meeting: Setting the tone, keeping to the agenda and supporting the minute taker
  • Constructive Conversations: Ensuring everyone contributes, maintaining engagement and managing tangents
  • The End of Your Meeting: How to close and what happens next

"Chairing and Managing Online Meetings" also looks at the following:

  • Getting set up: Creating meetings for Teams or Zoom, and a quick look at lighting and environment
  • Online etiquette: managing noise, considering webcams, raising hands and other features
  • Software to enhance the meeting: Chat, sharing content, collaboration tools, learning from streamers

"Chairing and Managing In Person Meetings" also looks at these areas:

  • The Meeting Environment: Room options, levels of formality and seating arrangement
  • Materials and Technology: Whiteboards, paper, laptops and projectors
  • Varying the Format: Workshops and activities to bring out creativity

When delivered as a full day, this course will cover all of the above and additionally explore hybrid situations where some attendees are present and others are available through video chat.
